This Privacy Policy describes how Karen AI Technologies, LLC, a Delaware limited liability company ("Karen AI", "we", "us"), collects, uses, and protects your information when you use the Service.

1. Information We Collect

We collect the following types of information:

Information you provide directly

  • Email address
  • Name
  • U.S. state
  • Details about the issue or call you want Karen to handle
  • Any additional information you choose to include when communicating with us

Some interactions may involve sensitive personal information, including health-related information you choose to share when using the Service. We use this information only to provide and improve the Service and do not sell it.

Usage and technical data

  • Log data (IP address, browser type, device information)
  • Interaction data (pages visited, actions taken, timestamps)
  • Basic analytics on how the Service is used

Call- or message-related data (if applicable)

When Karen makes calls or messages on your behalf, we may collect:

  • Call attempts, outcomes, notes, and summaries
  • Transcripts generated during interactions
  • Appointment confirmations, reference numbers, or responses from third parties

Calls may be recorded or transcribed to provide features such as summaries, follow-ups, or task completion. Karen is designed to support applicable call consent requirements, though users are responsible for using the Service lawfully.

2. How We Use Your Information

We use your information to:

  • Provide, operate, and improve the Karen AI service
  • Contact third parties on your behalf when you request it
  • Generate summaries, transcripts, and status updates
  • Communicate with you about your account, waitlist status, or service updates
  • Respond to your questions or support requests
  • Analyze usage to improve features, safety, and performance

We do not sell your personal information. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

3. How We Share Information

We may share information in these limited situations:

With third parties you direct us to contact

For example, insurers, service providers, billing departments, healthcare offices, or other organizations relevant to your request.

With service providers

We may use trusted vendors for:

  • Hosting and infrastructure
  • Analytics
  • Email communication
  • Customer support tools

These providers only access the data necessary to perform their services and must protect it.

Google user data is an exception to the above: we share it only with service providers that host our infrastructure, strictly to operate the Service, and never with analytics, advertising, or marketing vendors. See "Google User Data" below for full details.

For legal or safety reasons

We may disclose information if required by law or if we believe it is necessary to:

  • Comply with legal obligations
  • Protect the rights, safety, or security of users or the public
  • Enforce our Terms of Service

We do not share your data for advertising purposes.

4. Google User Data

Karen AI offers an optional Google Calendar integration and supports signing in with Google. If you choose to use these features, we request access to specific Google Account data through Google's OAuth process. You can decline, and you can revoke access at any time (see "Revoking access and deletion" below).

What we access

  • Your Google Calendar events (the calendar.events scope), so Karen can read your availability and create, update, or cancel appointments on your behalf.
  • Your basic Google profile and email address (the openid, userinfo.email, and userinfo.profile scopes) when you sign in with Google, used to authenticate you and identify your account.

How we use it

We use Google user data solely to provide the user-facing features of Karen AI described below. We do not use Google user data for any other purpose. Specifically, we use it for:

  • Reading your existing calendar events to determine which time slots are free for scheduling.
  • Creating, updating, or deleting calendar events when Karen books, reschedules, or cancels an appointment at your request.
  • Authenticating you and maintaining your account when you sign in with Google.

We do not use Google user data for analytics, advertising, marketing, product research, or any purpose other than providing the features above. Where other parts of this Privacy Policy describe broader data practices (for example, general usage analytics, product-performance analysis, or sharing with analytics vendors), those broader practices do not apply to Google user data. This section governs Google user data, and the Limited Use requirements below take precedence over any conflicting language elsewhere in this Privacy Policy.

How we store it

When you connect Google Calendar, we securely store the OAuth tokens Google issues so the integration continues to work without requiring you to reconnect each time. We do not retain a copy of your full calendar; we access event data only as needed to provide the scheduling features described above.

How we share it

We do not sell your Google user data, use it for advertising, or use it to develop, improve, or train generalized artificial intelligence or machine learning models. We share Google user data only with service providers that host our infrastructure strictly to operate the Service, and only as necessary for that purpose.

Revoking access and deletion

You can disconnect Google Calendar at any time from within the app, and you can revoke Karen AI's access from your Google Account at myaccount.google.com/permissions. When you disconnect, we delete the stored Google OAuth tokens.

Limited Use disclosure

Karen AI's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, alteration, disclosure, or destruction.

However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We retain information only as long as necessary to:

  • Provide the Service
  • Maintain accurate records of interactions
  • Comply with legal obligations
  • Improve product performance

Call audio recordings are stored with our telephony provider (Telnyx) and are deleted automatically 90 days after the call — sooner if you delete the call or your account. You can turn off recording for future calls at any time in Settings; transcripts are still generated so your call history and summaries keep working.

Call transcripts and summaries are retained until you delete the call or your account, so your call history remains available to you.

You may request deletion of your personal data at any time (see "Your Rights"). Deleting a call removes its transcript, summary, and audio recording; deleting your account removes all of your data, including every recording.

For Google user data specifically, we delete the stored Google OAuth tokens when you disconnect Google Calendar or revoke access from your Google Account. We do not retain Google user data for product-improvement or analytics purposes. See "Google User Data" above for details.

7. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access the information we hold about you
  • Request corrections
  • Request deletion
  • Opt out of certain communications
  • Withdraw permissions you previously granted

8. Children's Privacy

The Service is not intended for individuals under 18.

We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time.

If material changes occur, we will notify you by email or through the Service.
